Please be aware that these policies and guidelines only apply to centrally scheduled A&S College classrooms that are primarily managed by the A&S Registrar’s Office in Klarman Hall KG17. Other schedulers on campus may have their own policies regarding room use and availability. Please visit scheduling.cornell.edu for general information on event scheduling.
McGraw Hall will be closed for renovations beginning Winter 2024. It is expected to reopen in Spring 2028.
Klarman Auditorium (KG70) is currently unavailable for evening and weekend events.
Guidelines for the Beginning of the Fall and Spring Semesters:
- Any requests for fall student events submitted before August 1st will be denied.
- We will begin processing student room requests close to the first day of classes, but classroom scheduling is prioritized. It may take up to 2-3 weeks into the semester until your request is reviewed.
- During the first two weeks of the semester, student organizations may only hold events on Fridays after 4:30pm through Sunday evenings.
- Organizations that require large room blocks for multiple days may only reserve six rooms within the main Arts & Sciences buildings (Goldwin Smith, Klarman, McGraw, Morrill, Rockefeller, and Uris). Please spread the remainder of your requests across campus. This is to ensure that all organizations have the opportunity to reserve space in A&S buildings. Requests for multiple rooms exceeding six locations should be directed to our office for further review by contacting as_rmrsv@cornell.edu.
General Scheduling Guidelines:
Please note that room reservations are not a guarantee. Requests are reviewed on a first-come, first-served basis.
- No student events may occur prior to 4:30pm on weekdays.
- There must be at least a 15-minute gap between events to allow for passing time. You can check this using the Availability Grid in 25Live (instructions under “Tips and Tricks” below).
- Students may not reserve A&S rooms during winter or summer break or during the exam/study period.
- Requests for multiple rooms without including a reason in the comment section will be denied.
- Project teams are categorized as student events.
- Confirmed student events may require rescheduling if a Cornell organization requires that space and time for a high priority event.
Large Auditoriums:
Your headcount must meet at least 50% of the room capacity to reserve the following auditoriums (unless a stage is needed):
- HEC Auditorium: GSH132 (cap 210)
- Lewis Auditorium: GSHG76 (cap 200)
- Kaufman Auditorium: GSHG64 (cap 145)
- Uris Auditorium: URHG01 (cap 441)
Tips and Tricks
- Any time you request a location, please check the availability grid for conflicting requests or overlap with the 15-minute buffer period by doing the following:
- Navigate to the home page of 25Live in a new tab and select the “More” menu in the upper right.
- Select “Availability” to view the grid.
- You can see pending requests by selecting the checkbox next to “Include Requested.” A pending request will be filled with grey dashed lines.
- If there is a pending request in a space at your desired date and time, please select another space.
- To ensure a timely response, it is recommended that you submit your request at least five business days before your event.
- Please submit one event form per event and request only the number of rooms needed.
